Architectural Design Review Committee (ADRC) Report

The Architectural Design Review Committee is comprised of Tom Geers, Matt Hollis, Laurie Parrott, Frank Stockdale and Susan Westlund (chair).

The ADRC Committee met last November to establish priorities for the committee. The number one goal was to revise the forms so homeowners would understand when it is required to submit plans to the ADRC for review and approval and when changes in an owners unit did not require documentation other than a Hold Harmless Agreement. The additional goal was to simplify the forms.

Recommended changes have been submitted to the Board, and have been reviewed during the November 4, 2011 Board Meeting. The forms were approved by the Board unanimously as modified, subject to review by council.

There have been two requests of the ADRC to review plans:

G2 requested review when floor joists, a common element, were found to be rotten at the time work was being done on the lanai. The request went to the committee and then to the Board. The Board approved the plan and work was completed and paid for by the homeowner.

The second request for ADRC review was made by the Resident Manager for screening near the maintenance shed, he states;

The maintenance shop and the storage areas behind it have always been an area of concern when it comes to some owners in the surrounding area.  The request to resolve this situation is to put up screening on the left hand side of the walkway when walking from the shop to Q building.  

The ADRC committee approved this request with “recommendations” to the Board. The Board approved the plan and work was completed and paid for by a homeowner.

A continuing concern is the amount of remodeling, updating, or repairs being done to apartment units without paper work being submitted to the Resident Manager or the ADRC Committee.  Often there is no need for review by the ADRC Committee but at the very least a Hold Harmless Agreement should be submitted to the Resident Manager by the homeowners for any project.   We are striving to make the process clear and easy to accomplish.  We need the participation of homeowners as we all strive to have Paniolo Hale Homeowners Association (which we are all a part of) and our personal units cared for and protected.

The ADRC is helping with the centralized filing system that has been started in the main office.  The Board has requested all ADRC files in the possession of current and former Committee Chairpersons be consolidated in the Resident Managers office. This is a work in progress.
